Development Events Coordinator

The Oklahoma City Museum of Art is one of the leading arts institutions in the region. Job Summary:

Oklahoma City Museum of Art is currently seeking a full-time Development Events Manager to join our staff.  This position supports and advances the Museum’s mission through the management of special events and facility rentals. This is not a remote position.

Major Responsibilities

  • Coordinate the Museum’s fundraising events to meet performance and revenue goals.
  • Coordinate Member and Donor events, dinners, and other special events.
  • Coordinate the Museum’s private event program to meet performance and revenue goals.
  • Maximize earned income potential of private events

Responsibilities Specific to Fundraising Events

  • Prepare and monitor timelines for events.
  • Prepare and monitor event expense and income budgets.
  • Work with event committees, obtain bids, coordinate catering arrangements, work with caterers, develop menus, coordinate event logistics, facilitate related paperwork and agreements, and successfully execute the events.
  • Coordinate rentals, décor, entertainment, beverages, and service for events.
  • Provide onsite event management and coordination of staff, volunteers and vendors, including set-up, check-in, tear-down.
  • Work with Director of Marketing and Communications on promotion of fundraising events.

Responsibilities Specific to Member and Donor Events

  • Creation, development, and execution of all Member and Donor events in collaboration with development department staff and other departments as needed.
  • Maintain and monitor expense budgets for events.
  • Serve as liaison between Museum departments to facilitate successful events.

Responsibilities Specific to Private Events

  • Oversee inquiries and client meetings, scheduling, and budgets for private events.
  • Oversee, update, and maintain the private events calendar for staff and supervisor(s).
  • Facilitate coordination between private events clients and caterer(s) including setup needs for all events.
  • Coordinate all aspects of the private events program from initial client contact, site visit, planning, to post-event clean up.
  • Prepare private event memo and work closely with caterers, Facility Operations Director, Building Support, A/V Technicians, and administrative staff on organizing event details.
  • Utilize the Group Sales function of Altru database system to execute and track private event bookings.
  • Provide monthly reports on private events.
  • Prepare contracts and invoices and process payments for private events.
  • Supervise private events and ensure smooth coordination and success of all events.
  • Work with marketing team on promotion of private events.

Qualifications

  • Bachelor’s degree in hospitality or similar field preferred
  • 2-4 years of experience in the event and meeting planning industry including client management
  • Excellent interpersonal skills and demonstrated experience planning events
  • Highly organized multi-tasker with good problem solving skills
  • Demonstrated proactive sales and marketing skills
  • Proficient written and verbal communication skills
  • Experience with, or ability to learn, Altru database system, specifically the Group Sales function to track and invoice private events
  • Regular onsite attendance is required to fulfill the major responsibilities of the job
  • Availablity to work weekends and after business hours
