Manager of Individual Support & Membership
Job Summary:
The Manager of Individual Support & Membership provides oversight for the Telfair Museums’ membership programs, from the general membership to Director’s Circle. In addition to stewarding current members, the Manager of Individual Support & Membership will focus on growing the number of Director Circle and general members by working closely with the museum’s staff, especially the manager of special events, to engage members in the rich variety of programs offered by the museum. The successful individual will be outgoing, have experience in identifying and cultivating donors; and be able to collaborate effectively with a wide range of museum colleagues. The role will report to the Director of Institutional Advancement and will supervise the work of the Relationship Database Manager.
Essential Functions:
Conceive, plan, and implement a multi-channel strategy for the cultivation, acquisition, and renewal of members and donors. Manage all aspects of the membership program, including acquisition, retention, gift processing, database management, and members servicing to achieve membership and budget goals.
Key Responsibilities and Tasks
- Maintain and cultivate lasting relationships with new and existing museum patrons and donors through consistent communication, meaningful recognition, and stewardship.
- Ensure fulfillment of all membership benefits and ensure that donor recognition is accurate and updated in museum publications, website, donor wall, and other appropriate methods.
- Provide timely and accurate reports to donors on the status of funded projects and overseas related stewardship activities.
- Develop, implement, and manage membership sales program to recruit new members and renew and upgrade existing members, including setting, reaching, and reporting on membership goals.
- Create monthly development department reports regarding status of Director Circle renewals, memberships, and development efforts.
- Create and implement a new donor acquisition plan. Proactively identify new ways to reach out to donors. Conduct research on current and prospective donors.
- Personally solicit gifts from individual donors to meet or exceed budgeted revenue goals. Where appropriate, include senior staff and/or board members to accompany solicitation meetings.
- Coordinate joint solicitations with board members or team members and seek board help with lapsed members when appropriate.
- Create and implement an active schedule of weekly in-person solicitations with current and prospective donors necessary to meet revenue goals. Track progress towards goals and update efforts accordingly.
· Coordinate and staff all donor cultivation and stewardship events and programs (including Directors’ Circle and annual exhibition fundraising events).
- Prepare appropriate fundraising packets/proposals for all individual solicitation activities. Ensure that membership renewal letters are accurate and sent on a timely basis.
· Prepare a variety of reports including giving history and prospect status using museum’s constituent and gift-tracking database.
· Work effectively with the Finance Department to assure the accuracy of Altru donor records, administration and reporting of corporate and individual donations.
- Supervise the work of the Relationship Database Manager to meet fundraising goals and provide high-quality donor stewardship.
- Independently write and edit membership renewal letters and write copy for magazine and all Director’s Circle communications, including letters, eblasts, invitations.
· Manage Development Communications Calendar and function as contact person for content management from the Development Department to Marketing Department for Telfair magazine, eTelfair email blasts, event content, and sponsors in all forms (banners, invitations, web recognition, etc.)
· Work with front line staff to ensure effective on-site membership sales, including staff training.
· Provide administrative, project, and event support as needed.
· Represent Telfair Museums in the community.
· Other duties as assigned.
Minimum Qualifications and Education:
- Bachelor’s degree is required in a professionally appropriate field.
- 2-3 years of prior administrative/communications work and experience at a senior level.
- 2-3 years experience in front line fundraising.
- Excellent written and verbal communication skills.
- Outstanding organizational skills and attention to detail.
- Able to schedule and complete multiple short-term and long-term tasks within deadlines.
- Proactive work ethic: able to initiate and coordinate detailed work with colleagues.
- Professional and mature working style and ethical standards
- Positive attitude and demonstrated collaborative mentality with museum constituencies and staff.
- Excellent interpersonal skills and ability to work successfully with a broad range of people.
- Excellent customer service skills. Friendly and outgoing personality.
Physical Requirements:
- Sitting, standing occasionally for long periods of time, extensive use of computer and associated keyboarding, repetitive motion, reaching, climbing stairs, and walking.
- Ability to work evenings and weekends; some late evenings.
