Development Relations and Membership Manager
Set within a twenty-five acre site three miles from downtown Tulsa, Philbrook's main campus is a unique combination of historic house, modern museum complex, and beautifully gardened property. Position Overview
Philbrook Museum of Art is seeking a Development Relations & Membership Manager. This position is responsible for a highly successful membership program; including planning for growth in membership renewal, retention, upgrades, and acquisition strategies for a portfolio. This position will cultivate and maintain relationships with prospective and current donors. Supervise Membership staff responsible for raising membership support through Individual, Family, Associate, Supporter, Sponsor, and Contributor membership levels. The Development Relations & Membership Manager must be capable of filling in for Director of Development in their absence. This position will report to the Director of Development and is expected to work on a full-time basis at 35 hours per week. Philbrook business hours of operation are 9:00 a.m. to 5:00 p.m., Monday – Friday, and provides a competitive medical, dental, vision, 403b, and paid time off benefits package.
Responsibilities
1. Manage direct reports to assure productivity, efficiency, and continuous improvement of the staff. Monitor and evaluate performance and provide coaching, training, and corrective action as required. Assure equitable administration of Philbrook policies and compliance with regulatory and legal requirements. Provide appropriate recommendations for staffing, compensation, promotion and termination actions.
2. Manage the Membership program by developing marketing strategies for recruitment, retention, and renewal of overall museum membership involvement. Oversee affiliated membership benefits and development and implementation of membership sales events. Develop compelling written and oral solicitations and acknowledgements to support membership retention efforts and collaborate with other Philbrook staff in the creation of necessary collateral materials for solicitation, cultivation, and stewardship. Coordinate campaigns effectively with other departments to ensure marketing campaign and/or sponsorship opportunities are successfully implemented.
3. Oversee efforts in stewardship by identifying and cultivating relationships for gifts, membership, and sponsorship opportunities. Represent Philbrook at internal and external meetings, site visits, exhibition openings, and other events. Follow up with donors and set meetings to strengthen relationships with prospective donors to expand visibility of the museum membership program.
4. Lead the Membership Team to create a positive member experience at the Museum through consistent and reliable use of effective communication, accurate information and gracious hospitality. Train and lead staff, particularly Guest Experience, to assist with onsite member needs, including registration, renewals and customer relations.
5. In collaboration with the Director of Development, develop and maintain systems, policies and procedures to support a comprehensive membership program to include portfolio management, revenue progress tracking, and monitoring expenses in order to achieve museum budgetary goals.
6. Manage expectations for prompt and reliable membership information entered in the Tessitura database to include proper tracking of gifts-ensuring accurate coding of each membership, processing membership acknowledgments, interactions, and developing reports and/or queries to generate membership lists and statistics. Actively plan and adjust reports in consideration of evolving database specific to Tessitura.
7. Maintain prompt and reliable attendance to successfully perform the duties of the job.
Required Qualifications
•Proven knowledge of developing and/or managing a membership program and track record of success in membership, development, or related work
•Ability to gather, interpret, analyze, and report statistics and other data
•Expertise in marketing campaign efforts to include direct mail, online promotions, or personal solicitations
•Demonstrated success with communications and collaterals to support sales/membership is a plus
•Strong attention to detail in preparing report and letters
•Experience with leading a marketing team or management of personnel
•Exceptional interpersonal skills with the ability to quickly develop rapport and build/maintain effective long-term relationships
•Excellent oral and written communication skills with the ability to prepare and deliver clear and concise reports and presentations
•Highly organized and attentive to detail with the ability to manage multiple concurrent projects
•High level of initiative and persistence in completing assignments
•Ability to develop long and short-range goals and determine outcome
•Proficiency with personal computers including word processing and fundraising software with the ability to generate donor reporting information
Education/Experience
•Bachelor’s degree in Communications, Marketing, or a related field of study; or an equivalent combination of education, training and experience
•At least three to five years of related experience in fundraising with emphasis on corporate and foundation major gifts, corporate outreach, business development, or similar area
•At least three years of supervisory experience
•Proven successful experience with solicitations and stewardship
•Experience with development and administration of finance and budget activities
•Experience in the non-profit sector, to include working as a member of a not-for-profit board; preferably in active committee assignments
