Status: Fulltime, exempt

Position Summary:
This position works collaboratively within the curatorial department to maintain the physical safety, security, order, control, care, and accessibility of the permanent collection in storage, as well as works of art on loan to the museum. In this capacity, this position advises staff colleagues about the condition and needs of works in the collection and works on loan. This position oversees documentation of collection objects; controls and documents travel of objects for conservation, loans, and exhibition.

The Registrar processes loan requests; conducts condition reports and periodic inventories; and works with staff colleagues and Board committees to develop the collection through acquisitions and deaccessioning.


The ideal candidate will have 5 years or more of progressively responsible experience relevant to registration and collections management in an art museum or cultural organization.

Primary duties include:
• Works with the Curator for the Permanent Collection to establish and implement all policies and procedures in areas of registration and collections management in accordance with current museum standards and ethics of registration.
• Manages physical safety, security, order, control, care, and accessibility of the permanent collection while in storage. Monitors environmental conditions and security at storage, conducts condition reports, and advises on environmental conditions and safety of objects while on exhibit at the museum.
• Acts as point person for issues related to maintenance of equipment and security of the collections storage facility.
• Strategizes and consults on issues related to improvements at the current storage.
• Oversees electronic and paper documentation of permanent collection, including acquisition files, deaccession files, and object files.
• Manages the YAM’s digital collection management system, PastPerfect.
• Conducts periodic inventories of the permanent collection and documents and resolves discrepancies.
• Oversees movement of collection objects, including outgoing and incoming loans, acquisitions, packing and transport of artwork, object conservation, matting/framing, and photography.
• Assists preparator(s) and curator(s) with installation and deinstallation of exhibitions.
• Collaborates with museum colleagues in exhibition preparation and educational programming related to the permanent collection.
• Serves as a staff liaison to the Board Collections and Exhibitions Committee and Subcommittee.
• Manages the processes for acquisition and deaccession of objects.
• Oversees aspects of digitization of the collection: developing object metadata and images.
• Supervises and trains interns and volunteers working with the collection.
• Consults on and writes parts of grant requests related to funding for facility improvements and digitization of the collection.
• Handles all rights and reproduction requests related to the permanent collection.

Hiring Salary Range: $42,000 - $50,000 based on experience level
