Digital Asset Manager

POSITION OBJECTIVE:

The Digital Asset Manager is responsible for working with a cross-departmental team to help select, procure, implement, and manage the museum’s first digital asset management system. The Digital Asset Manager will develop and direct the proper cataloguing, managing, and protection of the museum’s wealth of digital assets pertaining to the museum’s collection, programs, media, and branding.

ESSENTIAL FUNCTIONS:

  • Lead selection and procurement of the museum’s first digital asset management system.
  • (DAMS) with input from a cross-departmental team and external consultants.
  • Maintain a library with accurately catalogued assets, accompanied by details of the usage rights, current usage, and context.
  • Develop and enforce usage policies and procedures.
  • Define and manage digital asset metadata schemas and controlled vocabularies.
  • Publish clear and up-to-date usage and licensing data.
  • Establish efficient mechanisms for easy search, retrieval, and use of digital assets.
  • Enforce compliance with content creation and distribution policies.
  • Oversee DAMS vendor communication, contracts, and technical support.
  • Provide frontline system user/customer support and training.
  • Develop and direct asset workflow ingest, promoting automation where possible.
  • Manage and monitor access and use of digital assets, ensuring brand consistency, compliance, and copyrights.
  • Recommend systemic file naming conventions that are descriptive, accurate, consistent, and reflective of how the assets relate to the other files in the system.
  • Analyze and report regularly on metrics that pertain to demographics of access, usage, and lifecycle of digital assets, including statistics on audience engagement.
  • Promote and optimize use of digital assets.

POSITION REQUIREMENTS & QUALIFICATIONS:

Technical

  • Experience working with digital asset-related metadata, controlled vocabularies, digital rights, search, and web-publishing processes.
  • Understanding of integration of digital asset management systems into an institutional ecosystem of systems including public-facing websites, 3rd party controlled vocabularies, library and archives records systems, and art collection management systems.
  • Administration of digital asset management systems including user accounts, data and asset ingest and export, reporting, data schema creation and management, controlled vocabulary creation and management.
  • Digital asset preservation standards and best practices.
  • Search and retrieval best practices.
  • Experience working with a wide variety of current and historical digital asset types including images, documents, audio, and video.
  • Familiarity with current software and systems is beneficial: Amazon Web Service (AWS), ArchivesSpace (Lyrasis), Drupal, Mimsy XG (Axiell), Online Computer Library Center (OCLC), The Library Corporation cataloging (TLC).

Analytical

  • Prioritizing tasks and assets.
  • Implementing efficient and effective digital asset creation and management workflows and related policies and procedures.
  • Applying meaningful metadata tags to assets according to a consistent methodology.
  • User-centered approach to system interface and user experience design and implementation.
  • Consideration of accessibility and accommodation needs of end users.
  • Creation and management of digital asset usage policy and procedure.
  • Collecting and managing digital assets so that they are functional and readily accessible.

Personal

  • Work well with customers and colleagues, some of whom are not tech-savvy, both as a teammate and as a leader.
  • Clearly explain usage conditions and access procedures for the company’s digital assets.
  • Patiently and empathetically enforce compliance with the digital asset management guidelines.
