Job Description Summary
The Institute of Contemporary Art (ICA) at the University of Pennsylvania (UPENN) seeks an experienced and enthusiastic development professional to serve as its Assistant Director, Annual Fund and Individual Giving. An integral member of ICA's Development and Alumni Relations Department, the Assistant Director will plan and execute the fundraising for the Annual Fund, develop and grow individual Giving Circles, establish and cultivate relationships with major donors, and assist the team with special events under the supervision of the Director of Development and Alumni Relations.
Supporting ICA in its commitment to creating a diverse, inclusive, and equitable institution; treating colleagues and partners fairly and respectfully; and recognizing the value that diverse backgrounds and perspectives bring to our organization is vital to this position.
The Assistant Director, Annual Fund and Individual Giving must be a generous, thoughtful, and clear communicator, have accomplished writing skills, a strong attention to detail, an ability to organize and manage multiple projects, and a desire to work collaboratively across departments while contributing to total team culture and effort.
Familiarity with Excel, Word, PowerPoint/Keynote, Microsoft Office 365, Adobe Suite, Google Drive, and Outlook will be beneficial.

Job Description
Job Responsibilities
- Annual Fund: direct annual appeal mailings and related online/email campaigns; collaborate with the UPENN's Development and Alumni Relations Annual Giving program to achieve optimal results; build pipeline of potential annual fund supporters and create engagement opportunities for these supporters.
- Giving Circles: re-energize and grow ICA's current giving club ($500-$10,000/year) by designing exclusive programming around Philadelphia, at UPENN in collaboration with ICA's Public Engagement department and fellow University Colleagues, as well as developing a communications plan to these donors with intriguing and relevant content; conduct 40 visits annually to prospective or current ICA Giving Circle members.
- Engagement and Fundraising Events: manage event planning and production for engagement and fundraising events for mid-level and major donors. Hiring outside vendors such as designers, catering, AV, photography. Manage invitation lists and outreach planning. Work closely with Administration in Development to share invitation lists, add events to larger University calendars and partner with other Schools and Centers at Penn on events as needed.
- Work with the UPENN Arts and Culture Development Group to design engaging and relevant arts programming as part of general alumni programming.
- Prospect Research and Fundraising Materials: work closely with Development and Alumni Relations team to conduct detailed research into prospective funders and strategize on cultivation and stewardship of these donors. Assist with briefings for major events.
- Briefings and remarks for Director and Director of Development.
- Grow Corporate Sponsorship relationships for ICA.
Qualifications
- A Bachelor's Degree is required with 3 to 5 years of experience or equivalent combination of education and experience.
- Successful fundraising experience, preferably within an arts-related institution and/or university setting, is necessary.
- Specific experience with annual funds, special events, and major gift cultivation is preferred.
- Basic understanding of and comfort level with visual arts, as well as for ICA's relationship to the UPENN community and the regional and national cultural scene is preferred.
- Knowledge of contemporary art and the art world preferred.
- Excellent communication skills, both oral and written, and close attention to detail.
- Excellent and outgoing interpersonal skills, including the ability to interact effectively with donors, volunteers, and staff required; and the ability to work independently while functioning as part of a team; and the ability to meet deadlines and juggle shifting tasks.
- Familiarity with Excel, Outlook, Sharepoint and experience with fundraising databases required.
- Must be willing to travel and work evenings and weekends, as needed.
